Cara Membuat Email Melaporkan Masalah Performansi

Di kantor gw, akhir tahun 2009 kemaren ada beberapa kebun yang melaporkan masalah di sistem, khususnya mengenai performansinya. Mereka rata-rata komplain mengenai salah satu proses di sistem yang memakan waktu yang sangat lama, bisa sampai 7 jam, dan juga proses pindah hari, sampe 9 jam untuk kebun terbesar kami. Padahal mereka dikejar tenggat waktu pengumpulan laporan ke Head Office.

Saat itu Bos gw sedang cuti. Sesuai instruksi beliau, jika ada yang penting bisa segera hubungi beliau (sayangnya bukan hubungi hotline MacD yaahh …). Maka gw kirimlah sms dan gak lupa mengkonfirmasi apakah gw bisa segera kirim email ke vendor software kami di Cochin, India untuk mempertanyakan hal tersebut. Gak berapa lama, bos membalas sms gw,

‘ok.please send the issues to Cochin. But please do substantiate with some evidence.otherwise, they will not be able to simulate the issues. Try to provide as much as possible the chronological events leading to the issues’

Gw tercenung, terpekur dan hampir mendengkur membaca balasan beliau. Kok, kita harus menjelaskan lagi ke mereka stepnya? Disertai bukti-bukti alias screen shot pula? Padahal itu proses yang sangat biasa. Hanya perlu menjelaskan, proses itu makan waktu lama. Titik. Hmmm … mungkin bos masih dalam mood liburan akhir tahun. Jadi gak nyambung.

Tapi setelah gw renung-renungkan lagi, mungkin yang dimaksud bos adalah email seperti di bawah ini:

Dear Sir.

Our estates encountered performance issue again. This time it hits checkroll average calculation in Payroll module. It took 4 to 7 hours to complete.

Please follow these steps to simulate the issue:

1.         Prepare your favorite magazines (around 10 to 20 magazines) and a tank of coffee. Or you may prepare your bus ticket to Brastagi (hill station, 1.5 hours from Medan).

2.         Run this transaction: Payroll>Process>Checkroll Average Calculation.

3.         Click OK.

4.         Sit down relaxly and read your magazines until you feel sleepy and fall to sleep in front of the computer. Attached please find the screen shot (shown by model):

5.         Or, if you have prepared your bus ticket then you can go to Brastagi first, go to fruit garden and enjoy your trip. Attached please find the screen shot (shown by model):

6.         After around 7 hours, go back to Medan (if earlier you decided to go to Brastagi), then check the processing result. If it’s still not completed, you might want to go back to Brastagi? Or you may continue reading your favorite magazines or go to the nearest mall. If it’s already completed, thanks to God that you don’t have to wait furthermore. Please don’t forget to return the magazines to the owner. And also, send me the sweet oranges from Brastagi (yummy!).
